About Syntess Group

Syntess Group is a trade name of Inserimento B.V. Together with Syntess Software B.V., Egberts & Kuipers Bouw Software B.V. (trade name ENK Software) and Cafca Software NV, we form a specialised software group that makes business software for installation and construction companies and technical service providers in the Netherlands, Belgium and Luxembourg.

How do we obtain your personal data?

When you sign up for one of our services, visit our websites, request a newsletter, visit us at a trade fair or otherwise contact us, we may ask you to provide us with your name and contact details.

If you are already a customer of ours, we record in your business details your name and title, gender, job title, business contact details such as phone numbers, e-mail addresses and social media contact details and business interests.

Cloud solution: we are processors

Do you use our software in our cloud solution? And have you entered data of your customers and relations into our software? We ensure that that data is secured and protected in our role as “processor”. The service level agreement (with processor agreement provisions) then applies.

This privacy statement only covers the processing of personal data in the context of our existing or future customer relationship.

Purposes of processing

We process personal data in order to provide you with the best possible service. The personal data are used for:

  • To be able to execute and handle your agreement(s) with us;
  • To perform services at your address at your request.
  • To be able to call or e-mail you if necessary to perform our services;
  • To handle your payment for our services;
  • Sending (news) letters to inform you about changes to our services and products and other marketing activities related to our services;
  • Preventing abuse or fraud.

No special and/or sensitive personal data
We process contact data, relevant for maintaining or establishing our customer relationship. We do not process any special and/or sensitive personal data.

Controller
Marketing activities within our group are carried out jointly. For the processing of personal data for this purpose, we are joint controllers.

Basis for processing

The basis for processing is:

  • Necessary for performance of the agreement we have entered into with you
  • Consent where possible (in specific cases we ask for your consent)
  • Legitimate interest: the processing of personal data in those cases is necessary to pursue our business interests.

Retention periods

We retain personal data for as long as is necessary for the performance of our services. This means that we process your personal data for as long as you are a customer or are employed by an organisation that is a customer of ours.

Data that we need to keep for tax purposes, we keep for the duration of the legally prescribed retention periods.

Recipients of personal data

We use third parties who provide services to us as “processors”. Third parties include the hosting party for our websites, the CRM and marketing tool party and our data centres. These parties are bound by contract terms and we check that they meet our minimum standards for security when processing personal data.

Personal data is only shared with third parties if you have instructed or given your consent to do so. We may also provide personal data if requested or required to do so by law, or if the provision is necessary for normal business operations. If possible, we will inform you accordingly.

Objection, inspection and/or correction of data

You can submit a request for inspection, correction and/or deletion or restriction and objection in writing via e-mail addressed to privacy@syntessgroup.com.

Personal data is only shared with third parties if you have instructed or given your consent to do so. We may also provide personal data if requested or required to do so by law, or if the provision is necessary for normal business operations. If possible, we will inform you accordingly.

Unsubscribing from e-mail communication

We may send you emails as part of our services, such as newsletters or software updates. You can unsubscribe from these e-mail communications at any time. At the bottom of every e-mail we send, you will find a link that allows you to easily unsubscribe.

Questions or a complaint?

Data Protection Officer
We have appointed a Data Protection Officer (DPO) for our group. This officer ensures the correct application of the General Data Protection Regulation within our business operations and advises us on the protection of personal data. In this way, we ensure careful handling of personal data. Do you have a complaint about our processing of personal data? You can always submit your complaint to our DPO by sending an e-mail to privacy@syntessgroup.com. Are you unable to reach a solution together? Then submit your complaint to the Personal Data Authority.
